Sr Administrative Assistant I, Hematology Job

Under the direction of senior management, responsible for general secretarial, clerical and administrative support duties within the Global Medical Affairs Leadership. This candidate should have the ability to handle confidential material which is critical to the position. In addition, good interpersonal skills, a team perspective and willingness to work with others are also critical requirements.
Responsibilities will include, but are not limited to, the following:
1. Provide general administrative and clerical support to the department
2. Provide administrative support to Senior Leadership of Global Medical Affairs operations for day-to-day operations as well as individual projects as needed.
3. Open, sort and distribute mail, fax documents, keep files, order office supplies and maintain supplies.
4. Responsible for scheduling, organizing and recording all staff meetings.
5. Organize administrative systems to support department members including filing and other functions as required.
6. Responsible for creating and maintaining all record keeping in accordance with record retention policies and legal requirements
7. Schedule conference room usage.
8. Manage staff calendars, updating monthly schedule, and arrange travel itinerary and related activities.
9. Prepare presentation materials.
10. Telephone coverage as assigned.
11. Responsible for logistics of meetings with external development partners, including scheduling meetings, and hosting the visitors.
12. Schedule interviews for candidates.
13. Other duties related to the above within Celgene as a whole, as assigned.

2. Remedies normally require expenditure of own and others' time and company resources to resolve.
3. Impact of errors affect department function and may have impact on other departments, countries, regions or divisions.
4. Maintains confidentiality of all corporate matters pertaining to area of responsibility.
Skills/Knowledge Required:
• Must have strong interpersonal and communication skills, be a team player and be willing to work in an environment where individual initiative, accountability to the team, and professional maturity are required.
• Must be able to represent the departments in a professional manner to internal and external customers.
• Must be able to work with limited day-to-day supervision.
• Self starter and willingness to “do whatever it takes” is key.
• High level of commitment and results-orientation is required.
• Minimum 2-5 years secretarial experience; experience supporting teams highly desirable.
• Strong PC experience, Microsoft Office Suite experience required including Microsoft Word; Excel; Outlook; PowerPoint, Project and expert computer acumen.
• Excellent written and oral communication skills required.
• Excellent organizational skills

A business/administrative school graduate or equivalent in industry experience.
